Data Privacy Commitment: MediNest respects your privacy and is dedicated to safeguarding your personal data and your beloved companion's health history in strict accordance with the Philippine Data Privacy Act of 2012 (Republic Act No. 10173), its Implementing Rules and Regulations (IRR), and National Privacy Commission (NPC) circulars.
1 Legal Compliance & Framework
MediNest operates as a Personal Information Controller (PIC) and Personal Information Processor (PIP) where applicable under RA 10173. We collect and process personal data solely for transparent, legitimate, and proportionate veterinary healthcare facilitation purposes, grounded upon explicit user consent and necessary contract fulfillment.
2 Information We Collect
To enable pet healthcare management and appointment bookings, we collect the following types of information:
- Pet Owner Identity: First name, middle name, last name, and role.
- Contact Information: Active Philippine mobile phone number and verified email address.
- Address & Location: Street address, Barangay, Municipality/City, Province, and optional geographic coordinates (latitude and longitude) used to locate nearby veterinary clinics on our interactive map.
- Authentication Data: Cryptographically hashed passwords (using bcrypt algorithms) and email verification tokens.
- Pet Companion Profiles: Pet name, species, breed, gender, date of birth / age, weight, sterilization status, and profile photos.
3 How We Use Your Information
We process collected information strictly for:
- Facilitating appointment bookings, clinic schedules, and automated SMS/email reminders.
- Providing licensed veterinarians with accurate patient histories to aid medical assessments.
- Generating digital vaccination passports, treatment reminders, and lab result notifications.
- Locating and calculating distances to accredited veterinary clinics closest to your address.
- Verifying user identity and preventing unauthorized or fraudulent account access.
- Responding to customer support inquiries and resolving platform technical issues.
4 Pet Medical Records & Diagnostic Data
When a veterinarian or authorized clinic staff updates your pet's record on MediNest (such as vaccination logs, lab order results, surgery notes, weight charts, or prescribed medications), this clinical data is securely linked to your pet's electronic profile.
Pet owners have full access to view, download, and review these records through their Pet Owner Portal at any time, promoting transparency and continuity of veterinary medical care.
5 Sharing of Data with Veterinary Clinics
Controlled Disclosure: Your personal contact details and your pet's clinical profile are shared exclusively with the accredited veterinary clinic(s) where you choose to book appointments or seek medical treatment.
No Third-Party Advertising Sale: MediNest never sells, rents, or commercializes your personal contact details, email address, or pet records to commercial advertisers or unrelated third-party data brokers.
6 Security & Encryption Measures
We apply technical, organizational, and physical safeguards designed to prevent unauthorized access, accidental alteration, disclosure, or destruction of your information:
- Password Hashing: Passwords are never stored in plain text and are hashed using one-way bcrypt with secure salting.
- Encrypted Connections: Data transmitted across our web interfaces is protected by SSL/TLS encryption.
- Role-Based Access Control: Strict database permissions ensure clinic staff can only access patient files under their direct care.
- SQL Injection Prevention: Database transactions use parameterized prepared queries across all user inputs.
7 Data Retention & Disposal
Personal data and pet medical records are retained for as long as your account remains active or as needed to comply with professional veterinary record-keeping standards (typically 3 to 5 years following the last clinic consultation).
Upon verified request for account termination, non-medical identification records will be securely anonymized or permanently purged from active production databases.
